Business Operations & Executive Support Coordinator

The Story Mob is a leading strategic communications agency for gaming, esports, and digital culture. From global esports tournaments to the biggest names in gaming, we’ve been behind some of the most high-profile moments in the space.

The Role:

We’re looking for a Business Operations & Executive Support Coordinator to be the organisational backbone of our leadership team. In this part-time (24 hours/week) role, you’ll work closely with our Managing Director and CEO to keep our operations running smoothly and free up their time for strategic priorities.

This is a hands-on, detail-focused position where you’ll take ownership of key administrative processes — from travel bookings and expense reports to vendor management and scheduling — while anticipating needs before they become bottlenecks.

What You’ll Do:

  • Executive support: Manage calendars, coordinate meetings, and handle day-to-day administrative tasks for the CEO and Managing Director.
  • Travel & logistics: Arrange travel itineraries, book accommodation, and coordinate event schedules.
  • Finance admin: Process and track expenses, manage invoices, liaise with accounting, and support budget tracking.
  • Purchasing & vendor coordination: Source suppliers, manage orders, and track deliveries.
  • Document & data management: Maintain and organise contracts, presentations, and other operational documents.
  • Operational projects: Assist with ad hoc projects to improve internal workflows and team efficiency.

What We’re Looking For:

  • Proven experience in administrative, operations, or executive assistant roles.
  • Excellent organisational and time management skills.
  • A proactive problem-solver who anticipates needs and takes initiative.
  • Strong communication skills and a professional, discreet approach.
  • Proficiency with office and productivity tools (Google Workspace, Excel/Sheets, Slack, etc.).
  • Experience working remotely and managing priorities independently.
  • Interest in gaming, esports, or entertainment a plus - but not required.
